1. Who we are and scope

Legal AI Forum is a practitioner-led community initiative focused on safe, effective AI adoption in legal practice in Romania. In these Terms, “Legal AI Forum”, “we”, “our” or “us” refers to the organisers and coordinating partners behind the initiative. “You” or “your” refers to a visitor, attendee or other user of our website or events.

These Terms apply to:

  • your access to and use of legalaiforum.org and any subpages (the “Website”);
  • your registration for and participation in workshops, events and other activities organised or co-organised under the Legal AI Forum banner (the “Events”);
  • your use of materials, templates, checklists and workflows we make available via the Website or Events (the “Materials”).

By using the Website, registering for or attending an Event, or downloading or using Materials, you agree to these Terms. If you do not agree, please do not use the Website or register for Events.

2. No legal advice; no lawyer–client relationship

The Website, Events and Materials are for general information and educational purposes only. They are not intended to constitute legal, regulatory, tax or other professional advice, and should not be relied upon as such.

Your use of the Website, Events or Materials does not create a lawyer–client relationship with Legal AI Forum, Wisanna or any other partner or speaker. You remain solely responsible for complying with applicable professional rules and for obtaining independent legal advice where appropriate.

3. Event registration and binding effect

When you submit an online registration form, complete a subscription process or are otherwise confirmed as an attendee for an Event (including free Events), you enter into a binding agreement with us based on these Terms and any additional conditions set out on the relevant registration page or invitation.

If you register or purchase access for someone else or on behalf of an organisation, you represent that you have authority to do so and that the organisation accepts these Terms. In that case, “you” also includes that organisation and its representatives.

4. Event fees, changes and cancellations

4.1 Fees and payment (where applicable)

Some Events may be free of charge; others may require the payment of fees as described on the registration page or invitation. Any such fees are payable according to the conditions stated there (for example, payment deadlines, currencies, applicable taxes and refund rules). Unless otherwise stated, fees must be paid in full before the Event.

4.2 Programme changes

We may adjust the programme, speakers, format, date, duration or venue of an Event (for example, to reflect speaker availability, health and safety considerations, or demand). We will endeavour to notify registered participants of material changes using the contact details provided at registration.

4.3 Cancellation or postponement by us

We may cancel or postpone an Event or your individual registration at our discretion, for example in case of low registrations, speaker unavailability, venue issues or safety concerns. Where you have paid a fee directly to us for that Event, and the Event is cancelled without a rescheduled date, we will usually refund the fee paid for that Event. Unless required by mandatory law, we are not responsible for any additional costs you may incur (such as travel, accommodation, or third-party booking fees).

4.4 Cancellation by you

If the Event is free of charge, please let us know as early as possible if you are no longer able to attend, so that we can offer your place to someone else.

For Events with paid registration, specific cancellation and refund conditions (including any consumer withdrawal rights that may apply) are set out on the relevant registration page or invitation and take precedence over this Section. In the absence of such specific conditions, we may at our discretion offer a partial or full refund or accept a substitute attendee notified in advance.

Nothing in these Terms is intended to limit rights you may have under mandatory consumer protection laws that cannot be waived by contract.

5. Travel, accessibility and logistics

For in-person Events, you are responsible for your own travel and accommodation arrangements, visas and insurance. We are not liable for travel or accommodation costs or for situations in which you are unable to attend due to delayed or cancelled transport, visa issues or other circumstances outside our control.

If you require accessibility support or have dietary requirements for an in-person Event, please let us know during registration or by contacting the organisers in advance. We will make reasonable efforts to accommodate such requests where feasible.

6. Use of the Website

You agree to use the Website only for lawful purposes and in a way that does not infringe the rights of, restrict or inhibit anyone else’s use and enjoyment of the Website.

In particular, you agree not to:

  • use the Website to upload or transmit any content that is unlawful, defamatory, obscene, discriminatory or otherwise objectionable;
  • attempt to gain unauthorised access to the Website, servers or related systems, or interfere with their operation (for example through hacking, scraping or automated attacks);
  • use the Website to provide commercial services to third parties without our prior written consent;
  • misrepresent your identity or affiliation when interacting with us or other users.

7. Use of Materials and intellectual property

Unless otherwise indicated, the Website, Events and Materials (including text, graphics, logos, icons, workflows, templates and checklists) are protected by copyright, trade mark and other intellectual property rights owned by Legal AI Forum, Wisanna, contributors or other rights holders.

Subject to these Terms, we grant you a limited, non-exclusive, non-transferable licence to use the Materials for your own internal professional or educational purposes.

You may not, without our prior written consent or explicit licence terms:

  • sell, license, redistribute, publish or otherwise commercially exploit the Materials or substantial parts of them;
  • use the Materials to provide competing commercial services, training programmes or products;
  • remove or alter any copyright notices, trade marks or other proprietary legends;
  • represent any Materials as legal advice or as a complete, jurisdiction-specific compliance solution.

Where Materials are provided under a specific licence (for example, a template explicitly marked as being shareable within your organisation), the terms of that licence prevail over this Section for that Material.

8. Community conduct at Events

We aim to make Events safe, inclusive and useful for all participants. We expect attendees, speakers and partners to:

  • treat others with respect and professionalism;
  • avoid harassing, discriminatory or otherwise inappropriate behaviour or content;
  • respect confidentiality where it is explicitly requested (for example, in closed-door discussions);
  • comply with any venue rules, health and safety instructions and applicable laws.

We may, at our discretion, remove or refuse access to any participant who does not comply with these expectations, without obligation to refund Event fees (if any), where permitted by law.

9. Photography, recording and online tools

We may take photos, record sessions or share live demos during Events, including via online platforms. These may be used for documentation, educational and promotional purposes related to Legal AI Forum (for example, on our website, newsletters or social channels).

If you have concerns about being photographed or recorded, please inform the organisers in advance or on the day. We will use reasonable efforts to respect such requests (for example, by seating or cropping accordingly), but incidental inclusion in group shots or recordings may still occur.

Events and the Website may rely on third-party platforms (such as video conferencing tools, survey tools or email and mailing systems). Your use of those platforms is also subject to their own terms and privacy policies, which we do not control.

10. Disclaimers and limitation of liability

The Website, Events and Materials are provided on an “as is” and “as available” basis, without any warranties of any kind, whether express or implied. To the fullest extent permitted by law, we disclaim all warranties, including implied warranties of merchantability, fitness for a particular purpose and non-infringement.

In particular, we do not warrant that:

  • the Website or Events will meet your expectations or objectives;
  • access will be uninterrupted, timely, secure or error-free;
  • any information or Materials are complete, up to date or suitable for your specific circumstances.

To the fullest extent permitted by law, we (and our partners, speakers and contributors) will not be liable for any indirect, consequential, incidental, special or punitive damages, or for any loss of profits, revenue, data or goodwill arising out of or in connection with your use of the Website, Events or Materials, even if we have been advised of the possibility of such damages.

Where our liability cannot be excluded under applicable law, and to the extent permitted, our total aggregate liability arising out of or in connection with the Website, Events or Materials will be limited to the amount of fees (if any) paid by you directly to us for the specific Event or service giving rise to the claim.

Nothing in these Terms excludes or limits liability that cannot be excluded or limited under applicable law, such as liability for death or personal injury caused by gross negligence, or for fraud.

11. Force majeure

We will not be liable for any failure or delay in performing our obligations under these Terms to the extent such failure or delay is caused by events outside our reasonable control, including but not limited to natural disasters, epidemics, strikes, wars, civil unrest, governmental restrictions, failures of telecommunications or internet services, or other similar events (“Force Majeure Events”).

In such cases, we may modify, postpone or cancel the affected Event or service. Where permitted by law, Event fees (if any) may be handled in accordance with Section 4.

12. Changes to these Terms

We may update these Terms from time to time, for example to reflect changes in law, our activities or our technical infrastructure. When we do so, we will update the “Last updated” date at the top of this page. For material changes, we may also use other means to draw your attention to the update (for example, a notice on the Website or in Event communications).

By continuing to use the Website or participating in Events after the updated Terms take effect, you agree to be bound by the updated Terms.

13. Governing law and jurisdiction

These Terms are governed by and construed in accordance with the laws of Romania, without regard to conflict of law rules.

Subject to any mandatory provisions of applicable consumer law that provide for a different forum, any disputes arising out of or in connection with these Terms, the Website, Events or Materials will be subject to the non-exclusive jurisdiction of the courts of Bucharest, Romania.
